CH.03 Automate Division

AI & Automation

Connect the people, the data, the software and the customers — then let the system carry the repetitive part.

Automation is the division that pays back fastest, because it does not require you to find a single new customer. It returns hours you are already paying for.

It is also the division where the most money is wasted, because automating a broken process produces a broken process that runs faster and is harder to inspect.

Where the hours actually go

We start by watching the work. Not a workshop about the process — the process. Within half a day it is normally clear where the time disappears, and it is almost never where the leadership team expects.

The usual culprits are the same across industries: data retyped between two systems, an approval waiting on one person’s inbox, a report assembled by hand every Monday, and enquiries that arrive outside working hours and sit until morning.

  • Process mapping that produces a ranked list of what to automate and what it is worth
  • CRM and ERP implementation, configuration and integration
  • API development and integration between systems that do not natively talk
  • Workflow automation across the handoffs where work queues
  • AI applications and chatbots where language is genuinely the bottleneck
  • Database design and the reporting layer on top of it

Automate the process before adding intelligence to it

A large share of what arrives as an AI request turns out to be a scheduled job, a webhook and a sensible data model. That version is cheaper to build, cheaper to run, and it fails in ways you can predict.

Where a language model genuinely earns its place — qualifying inbound enquiries by what they actually say, answering from your own documentation with sources attached, extracting structure out of unstructured input — we build it with a human in the loop on anything that touches a customer, a price or a commitment, and we log every decision with its inputs so a wrong answer can be explained rather than guessed at.

The CRM is the spine

Automation needs somewhere to put the truth. In practice that is the CRM: the record every other system reads from and writes to. Where the CRM is absent, or present and untrusted, automation has nothing to stand on and the project stalls.

This is why CRM work and automation work are the same division here rather than two separate engagements that meet at an integration meeting.

Proved on one process before it becomes a programme

We will not quote an automation programme before one process is live and measured. The first automation carries the connection work the rest reuse, and once it is running you have real numbers — hours returned, error rate — which makes the second decision an easy one and the tenth one obvious.

Common questions

Where does our data go?

Wherever you decide, and we tell you component by component. Storage and retrieval can stay in infrastructure you control. Where a third-party model is used we name it, say what it receives, and give you its provider's retention terms before you commit.

Will this replace staff?

In our experience it removes the part of the job people dislike and raises what the same headcount can carry. We do not make headcount claims in proposals, because the honest measure is hours returned and what you choose to do with them is yours.

Can you automate across software we already pay for?

That is the usual case. Most business software has an API; where one does not, there is normally a supported export or a webhook. We confirm what is possible during mapping rather than after you have committed.

What does it cost to run once it is built?

Infrastructure and, where models are involved, usage. We model the monthly figure at your expected volume before the build so the running cost is a decision rather than a surprise.
